Specialist, Adult Education

The Adult Education Specialist is responsible for the effective operation of the administrative functions of the Adult Education program. Responsibilities include coordinating and arranging adequate front desk and support staff coverage and ensuring that excellent customer service is provided. Incumbent is also responsible for assisting in processing and maintaining employee records, tracking budgetary expenses, maintaining accurate purchasing, travel and leave records and accurate preparation and submission of departmental payrolls. Incumbent serves as Inventory Steward for Adult Education on the Greensboro campus, and sends program communications to all members of the Adult Education team. The incumbent also provides administrative and technical support to the Dean of Adult Education in the day to day operations of the program and acts as a liaison between the dean and college employees/students/the public. Duties include handling confidential information with discretion, compiling and maintaining spreadsheets for budgeting and payroll purposes, and other vital reports to assist with budget preparation and management. The person in this position works under limited supervision and must exercise initiative and independent judgment in setting priorities and carrying out assignments.
•Effectively organize and manage the office, coordinate assignments, maintain a functional work-flow, monitor deadlines and answer technical questions. Compile, maintain and distribute work schedules for non-instructional employees. Monitor daily operations of Adult Education office. Coordinate work schedules for adequate coverage, ensure timely completion of routine tasks, ensure quality standards and effective records maintenance/management systems, processes, and practices. Assist with program-wide email communications. Serve as back-up to front office staff as needed.
•Maintain budget records: recommend expenditure requests, monitor expenditures to ensure compliance with approved budget, recommend and process budget transfers. Assist in developing draft budget proposals as necessary.
•Process new hire packets and maintain employment records. Assist in the orientation of new staff members on the Greensboro campus.
•Maintain equipment inventory and check-out system for Adult Education and serve as Inventory Steward on the Greensboro Campus. Order supplies and instructional materials as needed.
•Provide administrative support to Dean relative to Adult Education programming. Duties include registering students, auditing attendance rosters, and other related tasks.
•Compile quarterly Adult Education departmental newsletter.
•Dealing with frequent interruptions
•Dealing with limited resources (fiscal, human, supplies, etc.)
•Managing personnel issues
•Managing student issues (behavior, health, emergencies)

•Daily: Adult Education employees, students and general public
•Weekly/Monthly: Maintenance, Purchasing, Finance, Student Support Services, Payroll, Information Technology, Public Safety and other departments as needed
•Associate Degree in Business Administration or related field from a regionally accredited post-secondary institution.
OR
•High school diploma with a minimum of five years equivalent administrative experience
•Bachelor’s degree in Business Administration or related field from a regionally accredited post-secondary institution.
•Three years of related administrative experience and a proven record of progressively responsible experience in administrative functions, including evidence of experience in the following areas:
•Thorough knowledge of office practices, procedures and equipment to include basic accounting practices to track budget and expenditures
•Proficiency in Microsoft Office products and experience using word processing, developing spreadsheets, developing presentations, and using database software applications
•More than three years of recent progressively responsible experience providing administrative support
•Experience in an academic setting
•Recent experience with an enterprise student information system (e.g., Colleague)
•Adult Education experience
•Ability to create, correct and format documents and communications. Willingness to be continually updated in these skills.
•Exceptional organizational skills and deadline management with the ability to prioritize projects and tasks.
•Ability to work efficiently and calmly under pressure.
•Ability to compose correspondence with correct punctuation and grammar; strong proof reading skills.
•Punctuality and flexibility in time management.
•Accuracy and attention to detail is a must.
•Knowledge of North Carolina Community College System policies and procedures
•Ability to work independently and ensure confidentiality where appropriate.
•Self-starter who is goal and result oriented.
•Ability to communicate with the public and represent the college in a professional manner.
