Office Manager, Student Health Services

About the Department:

Student Health Services (SHS) provides health care services at George Mason University. SHS provides primary care services and health promotion to eligible students at Mason, including but not limited to, initial and follow up assessment, history taking, physical exam of patients, utilization of differential diagnosis, appropriate interventions, consultations and referrals as indicated, and basic emergency treatment and stabilization. Staff provide services to faculty, staff, and visitors on an as needed basis.

 

Responsibilities:

The Office Manager, Student Health Services, provides administrative leadership to the patient services staff and supports the administrative operations of the SHS office. Reporting to the Associate Administrative Director, the Office Manager manages day-to-day operations for all of Patient Services. The Office Manager supports the Executive Director, Associate Medical Director, Administrative Director, Clinic Coordinator, Lead Nurse, and multiple practitioners, as well as patients, to assure the highest quality of care.

 

Operational

  • Organizes and coordinates office operations and procedures in order to ensure organizational effectiveness and efficiency on all three campuses;
  • Serves as primary point of contact for interdepartmental needs (e.g., telecom, Cashier’s office, Student Accounts, facilities);
  • Provides continuous enhancement of office protocols on customer service through written policies and staff trainings;
  • Responds to and resolves escalated customer service complaints from students; and
  • Communicates SHS hours (and changes) through postings and phone service.

 

Supervisory

  • Provides direct supervision to administrative classified and non-student wage staff responsible for the front office and other administrative roles;
  • Manages operations for patient services; covers front desk as required;
  • Tracks, schedules, and approves leave;
  • Communicates and implements policy and procedural changes;
  • Trains staff;
  • Responsible for ensuring daily front office staffing and supply inventory needs are met, this may include making recommendations for increased staffing, interviewing, and hiring; and
  • Works closely with the Associate Director of Nursing and Lead Nurse to encourage and support a collaborative patient care approach, including combined staff meetings and trainings.

 

Required Qualifications:

  • High school diploma or GED;
  • Experience typically obtained in one year in a customer service position;
  • Demonstrated skill in completing assignments accurately and with high attention to detail;
  • Demonstrated organizational skills;
  • Ability to handle multiple tasks/priorities simultaneously, independently, and within a team;
  • Demonstrated problem solving and analytical ability; and
  • Demonstrated customer service skills.

 

Preferred Qualifications:

  • Bachelors degree;
  • Demonstrated ability to manage operations of medical office effectively;
  • Demonstrated ability to supervise front desk and/or customer service staff well;
  • Demonstrated verbal and written communication skills;
  • Ability to use Microsoft Office products;
  • Experience typically obtained in 2 years in a customer service position;
  • Experience typically obtained in 6 months working in a medical office; and
  • Supervisory experience of 2 or more employees including performance management processes.
