POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Coordinator of Administrative Service to join our team of professionals.
Duties include:
- Coordinates the scheduling of faculty clinical and teaching assignments in an equitable manner, while taking into account faculty strengths and interest and meeting the needs of the Herbert Wertheim College of Medicine (HWCOM).
- Responsible for data reporting on faculty assignments and workloads, to provide input on the effectiveness and efficiency of the overall faculty schedule to the Department of Humanities, Health and Society leadership team. Processes faculty vacation and sick requests for coverage of Continuing Medical Education (CME) by analyzing faculty availability, registering results in system, and updates the SharePoint site, including emergency requests.
- Ensures faculty coverage for all curricular and clinical assignments by processing faculty requests for vacation, sick, and business leave, as well as emergency requests to establish coverage. Analyzes the overall faculty availability, registering results in system, and updating the department's SharePoint site.
- Monitors faculty compliance with coverage requests and provides follow-up, as necessary. Monitors, updates, and administers the calendars for Family Medicine Coverage and NeighborhoodHELP Visits to ensure information is accurate and up to date.
- Liaises with other HWCOM departments, including the Office of Medical Education, for requests of Family Medicine faculty availability in order to fulfill HWCOM curricular activities, such as committee participation, and core teaching duties: Clinical Skills, Case Base Learning, Osler Fridays, Basic Science small groups, workshops, and other classroom and small group activities.
- Liaises with the department's Patient Client Access office to ensure that NeighborhoodHELP needs (curricular and clinical) are addressed and resolved.
- Liaises with the FIU and Community Clinical sites to ensure faculty coverage and resolve schedule/ coverage changes as needed.
- Administers the faculty on call weekly coverage schedule and records it in the NeighborhoodHELP Visit calendar.
- Oversees the NeighborhoodHELP answering service schedule and records it in Family Medicine coverage calendar.
- Performs other related duties are required or as directed. The omission of specific duties do not preclude the supervisor from assigning duties that are logically related to the position.
- Responsible for the overall management of a scheduling data system, under the guidance of the leadership team. Responsible for training of curriculum staff for cross coverage on scheduling data system.
- Participates in the onboarding of new HHS faculty by orienting them on scheduling procedures for coverage of teaching activities, NeighborhoodHelp Telehealth and In Person Household Visits, Clinical coverage, weekend on call coverage for NHelp visits, Clinical afterhours phone coverage, and submitting leave requests.
- May need to provide support after hours as needed on weeknights and weekends for emergency coverage needs.
MINIMUM QUALIFICATIONS
Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.
DESIRED QUALIFICATIONS
Experience working in Higher Education.
