KEY CONTRIBUTIONS

  • Prepare, edit, and/or draft correspondence and legal documents such as deeds, agreements, affidavits, and trust certificates
  • Perform administrative duties requiring knowledge of legal terminology and legal processes
  • Actively participate in the buy-back process, including data entry, distribution of signature pages, assembly of documents and final closing coordination
  • Order and review abstracting documents
  • Mail, fax, overnight or arrange for delivery of legal correspondence; open and screen incoming mail
  • Maintain calendars including transaction deadlines
  • Interact with clients as required
  • Open and maintain client files and organizational documents
  • Respond to inquiries for information
  • Copy and scan correspondence, documents, and other printed matter for retention purposes; prepare old files for offsite storage
  • Handle billing and accounting matters
  • Backup front desk receptionist
  • Other responsibilities as needed

THE ESSENTIALS

  • At least two years of experience as secretary/assistant in a law firm or mortgage type environment
  • Proficient with Microsoft Outlook Suite
  • Ability to type 50 wpm
  • Associate's degree or equivalent or two years related experience and/or training; or equivalent combination of education and experience.
  • Highly organized, detail-orientated, proactive, and a team player who takes ownership
  • Balance competing priorities and work effectively under pressure
  • Experience with Qualia and Simplifile preferred
  • Strong verbal and written communication skills
