KEY CONTRIBUTIONS

  • Perform complex administrative duties requiring knowledge of legal terminology and legal processes
  • Review contracts
  • Open and maintain client files and organizational documents; draft correspondence, real estate and corporate documents
  • Request title work
  • Assist with maintenance of escrow account
  • Prepare checklists for transactions; assemble documents with exhibits
  • Actively participate in the closing process, including data entry, distribution of signature pages, assembly of documents and final closing coordination
  • Prepare signature pages, transaction binders, filings, and summaries
  • Conduct typical post-closing work, including organization of documents
  • Record documents in the public records
  • Schedule and coordinate logistics for meetings, travel, and closings
  • Maintain calendars including transaction deadlines
  • Enter billable time and edit time and pre-bills as needed
  • Process expense reimbursements
  • Answer incoming calls and respond to inquiries for information; prepare documents for shipment; and distribute mail
  • Scan and prepare files for offsite storage
  • Assist with business development and marketing activities
  • Backup front desk receptionist
  • Other responsibilities as needed

THE ESSENTIALS

  • At least two years of experience as a real estate legal secretary/assistant
  • Associate’s degree or equivalent combination of education, training, and experience
  • Proficient with Microsoft Word and able to type 50 wpm
  • Highly organized, detail-orientated, and proactive with a desire to take ownership as a contributing member of the team
  • Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations
  • Strong verbal and written communication skills
  • Experience with Qualia and Simplifile preferred
  • Some overtime may be required
