In the Administrative Purchasing Clerk position, you will work directly with the Purchasing manager, providing administrative support and maintenance of the purchasing department records. In addition, one of the main focuses of the position is communicating with our external customers, providing quotes, order processing and overall purchasing support. Throughout this diverse role you will develop an understanding of the purchasing functions and manufacturing processes, while expanding upon your communication skills in a team oriented environment.
Key Responsibilities:
- Main Point of contact for customer calls and emails regarding parts orders, and initiate customer quotes
- Prepare and issue customer purchase orders and change notices
- Review customer orders for conformance to company policy
- Ensure accuracy between supplier purchase orders and vendor billing
- Procure supplies for office and production floor
- Review and compare receiving paperwork from deliveries to original purchase order for conformance
- Match pick lists from production floor to customer orders and submit to front office for billing
- Coordinate LTL shipping for part sales nationally and internationally
- Provide and maintain accurate and current information on customer order status
- Provide Administrative support to the Purchasing Department
- Assist the Purchasing Manager with the creation and management of purchasing records
- In coordination with the Purchasing Manager facilitate customer and vendor returns as required
Qualifications:
- Entry to mid-level clerical or administrative experience
- Customer service experience, is strongly preferred
- Excellent written and verbal communication, clerical, math, and interpersonal skills
- A strong analytical/mathematical mindset
- Outstanding organizational skills
- Must be self-starter capable of working both independently, as well as part of the team
- Establishes and preserves a positive relationship with the customer base
- Minimum education: High School diploma required, any continuing education is a plus
